Have frequently asked questions about an online store develop and manage yourself

A simple webshop can usually be online within a few weeks. Larger web shops with many products and more functionality can take a little more time. (eg photos of products that still have to be made, texts such as product descriptions that still have to be written, …).

To build your online store quickly and correctly, we mainly need structured information. The clearer and more consistent your data, the faster everything is online (and the fewer errors).

1) Products & amp; Categories (preferably in Excel)

The ideal way is one Excel file In which everything is neatly in columns. For each product we need at least:

  • Product name
  • SKU / Reference number (unique!)
  • Price (incl. or excl. VAT clearly state)
  • Short description
  • Category (or subcategory)

Why is a consistently formatted Excel so important?
We import product data directly into the e-commerce system. If everything is consistent, products can be entered correctly in batch, which saves a lot of time. You can also supply the structure of categories separately, as long as it is clear how products should be classified.

2) Variants (sizes, colors, versions …)

Many products come in several options – eg a T-shirt in Size S-M-L-XL and different colors. We call that Variants. Also deliver it in Excel, for example:

ProductSKUColorSizePrice
T-shirt basicTS001-BL-MBluem24.95
T-shirt basicTS001-BL-LBluel24.95

???? IMPORTANT: Each variant has its own SKU or reference. This way stock management is correct and you prevent wrong orders.

3) General contact and company details

We also need your official data for invoices and legal pages:

  • Company name
  • Address
  • VAT number
  • E-mail
  • Telephone number
  • Account number
  • Possible opening hours / collection information

4) Legal texts

Each webshop must have certain pages by law, such as:

  • Terms and Conditions
  • Terms of delivery
  • Privacy Policy (GDPR)
  • Return policy / right of withdrawal

Do you already have these? Perfect – just deliver them digitally (Word or PDF). don’t you have them yet? Then we provide a basic text that you can have checked or supplemented.

In short:

A clear Excel with products + variants, supplemented with your company data and any legal texts, is all that is needed to start your webshop efficiently and correctly.

Preferably sharp, not too heavily compressed (e.g. JPG or WEBP in high quality), minimum ±1500 × 1500 px and preferably square cut. Then they can be processed in the online store without loss of quality and they also stay sharp on larger screens.

A professional shoot is of course top for atmospheric images, but for many web shops you can get surprisingly far today with a good smartphone camera, a tripod and a consistent lighting. Modern smartphones have strong sensors, good focus and even automatic background correction. With some attention to light and composition, you can perfectly make quality photos yourself.

However, a professional photographer can offer added value if you have consistently exposed photoS wants or if your products are difficult to photograph and require technical expertise that comes with taking packshots. Often photographers can also make products look better, which is positive for sales.

  • Use a quiet backgroundWork with an even white, light gray or soft neutral background. Avoid busy tables, wood veins or clutter in the background – that distracts from your product and looks less professional.
  • Work in square format (1: 1)Most web shops show products in square frames. So shoot immediately enough so that you can easily crop to 1: 1 without parts of the product disappearing. This also ensures a nice uniform overview in your category pages.
  • Provide soft, even lightNatural daylight is ideal: close to a window, but not in direct sun. Hard sunlight gives ugly shadows. No window? Use two lamps to the left and right of the product with a white sheet of paper or cloth to soften the light.
  • Use a tripodA small smartphone tripod prevents motion blur and ensures that all your photos are taken from exactly the same angle – that immediately makes your webshop more calm and professional.
  • Keep it consistentSame distance, same angle, same lighting. Consistency is more important than “artistic creativity” with product photos. Customers compare products side by side.
  • Take multiple imagesProvide at least: front, side, detail and possibly a photo in use. This increases trust and reduces returns.

A payment gateway is the technical link between your webshop and your customer’s bank.
It is the secure payment environment that ensures that online payments are processed correctly, securely and automatically. Without Payment Gateway, your webshop cannot receive online payments.

What exactly does a Payment Gateway do?

When a customer clicks on “Checkout”:

  1. The Payment Gateway processes the payment data securely (encrypted).
  2. The Payment Gateway checks whether the payment is approved.
  3. The Payment Gateway confirms the payment to your webshop.
  4. The amount will be paid out to your account later.

Everything happens in seconds.

Why do I need this?

A webshop without online payment option sells … not. A Payment Gateway makes it possible to:

  • accept bancontact
  • iDEAL to receive
  • to process credit cards
  • Paypal
  • Apple Pay / Google Pay

The more payment options you offer, the greater the chance that customers will effectively complete their order. But of course you only choose the payment options that are desirable for your webshop.

Molly

A very popular payment provider in Belgium and the Netherlands.

Benefits:

  • Supports Bancontact, iDEAL, credit cards, etc.
  • Transparent transaction costs
  • No fixed monthly cost
  • Simple link with most web shops
Shopify Payments

Shopify’s built-in payment solution.

Benefits:

  • Directly integrated in your Shopify webshop
  • No additional transaction costs from Shopify itself
  • Fast installation
  • Supports multiple international payment methods

What do I choose best?

That depends on:

  • The platform on which your webshop runs
  • The countries in which you sell
  • The payment methods you want to offer
  • Your expected turnover

In many cases, Mollie is ideal for WordPress / WooCommerce web shops, while Shopify Payments makes sense when your webshop runs on Shopify.

???? In short: a payment gateway is the indispensable link that ensures that your webshop can receive money effectively. No online sales without gateway.

Building a webshop is part of the story – Run a webshop Is partly the same as running a physical store … but then digitally. So there are a number of practical and legal matters that you as the owner must provide.

1) Legally and administratively in order

Before you can sell online, your company must be registered correctly. think of:

  • Active company / VAT number
  • Correct invoicing
  • Legal sales conditions
  • Privacy and return policy according to regulations

We show the webshop online – but you are the seller. The responsibility for the content and sale therefore lies with the trader.

2) Create an account with your payment provider

To receive payments, create an account with your chosen payment provider (eg Mollie or Shopify Payments).

Why you?

Because there too one Identity verification and bank verification happens. The provider must legally know who receives the money (anti-fraud legislation).

We link it technically, you activate it administratively.

3) Organize delivery, shipping and returns

Just like with a physical store, products must really reach the customer.

You decide yourself:

  • Who packs the orders?
  • Do you work with bpost, PostNL, FedEx, DHL, collection point …?
  • What does shipping cost?
  • From what amount free shipping?
  • How does return work?

A webshop is therefore also logistics: boxes, covers, labels, follow-up and communication.

4) Daily order follow-up

After launch, the real work begins:

  • Process orders
  • Send or have it picked up
  • Follow stock
  • Answer customer questions
  • Handling complaints
  • Make refunds

???? Many of these tasks are exactly the same as in a physical store – only the customer now comes through a screen instead of through the door.

In short:
We build and automate the webshop, but you remain the trader. Activating payments, being legally in order, organizing logistics and serving customers are part of running your online store.

Yes! We ensure that you can easily add or update products, manage stocks and launch promotions yourself.

If you sell products to different countries, you are responsible for:

  • The correct VAT rates in each country
  • Declaration and registration with foreign tax authorities
  • The correct processing in your accounting

In the software of the webshop you can insert VAT per country, but The correct application of VAT legislation and your tax obligations is entirely up to you.
